PRINT MANAGEMENT

burden associated with providing, managing and supporting a print, copy and fax service that is designed
around their specific business requirements. This allows organisations to provide their users with an
enhanced level of service while at the same time reducing the costs associated with providing the service
and giving the organisation greater control over how costs can be allocated to appropriate budgets or client

- Modern Infrastructure: The print, copy and fax infrastructure is updated in a financially efficient
manner to a new, consistent infrastructure designed to meet your specific projected business requirements over the coming years.
- Improved Financial Management: Depending on your preferences maintenance costs are replaced with either an agreed service
charge or a combination of a hardware rental or lease cost and an agreed cost per page output. This means the costs associated

upon to prevent outages or service unavailability, e.g. when toner levels drop below a defined threshold, Quest Systems
will be automatically alerted by the system and new toner replacements will be sent to the appropriate contact at the
relevant site before the existing toner runs out.
- Secure Printing of Confidential Documents: Confidential prints can be sent to the system print queue but will not
actually be printed until the individual enters a secret PIN number at the machine they choose.
- Service Management: A member of the Quest Systems Managed Services team will be assigned as your service manager.
This person will be a single point of contact for management relating to the performance of the service.
- Service Reporting: Pre-agreed reporting will be provided on the performance and availability of the managed print
service. These reports will provide management information on any service incidents during the reporting period.
Service usage reporting can also be provided.
- Service Desk - Single point of contact: End users will be provided with a single point of contact, the Quest
Systems Service Desk, for any difficulties they experience related to the service which they want resolved. Any
incidents that can be resolved by the Service Desk will be done so right away. For incidents that cannot be
resolved immediately by the Service Desk will be escalated appropriately and managed through to resolution by the
Service Desk and the Service Manager.
- Remote Resolution: Remote resolution and assistance technology will be used by Quest Systems to resolve as
many service incidents as possible, including helping end users with print related difficulties.
- Online Knowledge Base: You will have access to an online knowledgebase relating to the equipment that is
being used in the proposed solution. This will include information on frequently asked questions and help
instructions on common tasks such as how to load toner etc.
- Added Business Value: More sophisticated printing features that add business value may be easily deployed.
- Reduce proliferation of print devices: Expensive desktop printing is replaced with a more efficient, secure printing service.
- Manage Colour: Greater control of how colour printing is used in the organisation results in savings as unnecessary colour printing is greatly reduced.
- Training: Education is provided to users to allow them to get the most from the new functionality available
to them along with information on the organisation printing and paper waste prevention policies.
